- Identity Data: Full name, date of birth, nationality, and travel document details (Passport/ID).
- Contact Data: Email address, phone number, and home address.
- Financial Data: Processed securely via Stripe; we do not store full card numbers.
- Technical Data: IP address, browser type, and usage patterns (via cookies).
3. Why We Use Your Information
Under the GDPR, we must have a legal basis for using your data. Here is how we use yours:

4. Mandatory Guest Registration (AIMA)
Under Portuguese Law (Lei n.º 23/2007), all accommodation providers are legally required to report the entry of non-Portuguese citizens to the Agência para a Integração, Migrações e Asilo (AIMA).
- Required Data: To comply, we must collect your full name, nationality, date of birth, residency, and travel document details (type, number, and country of issue).
- Storage & Location: This data is stored on our secure servers located in the Netherlands (EEA). It is never transferred to servers outside of the European Union.
- Technical Security:
- In Transit: Data is collected via a secure online form and transmitted exclusively over an encrypted HTTPS connection.
- At Rest: Your travel document number is immediately encrypted using AES-256 encryption before being saved to our database. This ensures that even in the unlikely event of a system breach, your identification numbers remain unreadable and secure.
- Retention: In accordance with Portuguese tax and accounting regulations, this registration data is retained for 10 years, after which it is permanently purged from our systems. Your encrypted identification number will be permanently purged after 1 year.
- Legal Necessity: Providing this information is a legal requirement for your stay. If you choose not to provide these details, we will unfortunately be unable to fulfill your booking or provide accommodation.
5. Sharing Your Data
We don’t sell your data. We only share it when necessary:
- Authorities: AIMA and Portuguese Tax Authorities (AT) as required by law.
- Service Providers: Stripe (Payment processing) and Google Analytics / Beyond Beacon (Anonymized website usage).
- Business Transfers: If BOAZ Rentals is sold or merged, your data may be transferred to the new owner.
6. Data Retention
How long we keep your data depends on what it is:
- AIMA & Tax Records: 10 years (as required by Portuguese tax and accounting regulations).
- Marketing Data: Until you unsubscribe or withdraw consent.
- General Inquiries: 2 years from the last contact.
7. Your Rights
Since we operate in the EU, you have powerful rights regarding your data:
- Access & Rectification: Ask for a copy of your data or fix errors.
- Erasure (“Right to be Forgotten”): Ask us to delete data (unless we have a legal obligation to keep it).
- Restriction & Objection: Stop us from using your data for specific purposes (like marketing).
- Data Portability: Request your data in a machine-readable format.
- Withdraw Consent: If you signed up for emails, you can opt-out via the “Unsubscribe” link or by emailing us.
